"AI automation" is used for everything from a chatbot to a full back office. For a small business, the useful question is smaller: which repeated job takes your team the most time, and can software do the first draft? This guide helps you pick a first project, and avoid the ones that cost more than they save.
Where AI helps in a small business
- Customer messages. Answering the same ten questions about price, timing and availability.
- Content. First drafts of product descriptions, posts, emails and quotations that a person then checks.
- Data entry. Reading invoices, forms or enquiries and entering them into your system.
- Follow-ups. Reminding customers about payments, renewals and appointments.
- Summaries. Turning calls, messages or reports into short notes.
Pick a first project
A good first project has four things:
- It happens often, every day or every week.
- The steps are mostly the same each time.
- A mistake is cheap to catch, because a person reviews the result.
- You can say how you will know it worked, such as hours saved or enquiries answered faster.
Leave jobs where one wrong answer is costly, such as legal advice or medical decisions, until you have seen the tool work on easier ones.
Keep a person in the loop
AI makes mistakes, sometimes confidently. For anything a customer sees, let the software prepare the draft and let a person approve it, at least at the start. Once you have watched it for a few weeks and know where it goes wrong, you can decide what to let it send on its own.
Check your data first
Automation works on the information you give it. If your prices, products or customer records are scattered across chats and spreadsheets, fix that first. A tool connected to messy data gives messy answers. Also decide what customer information is allowed to leave your systems, and read the privacy terms of any tool you use.
Questions to ask a vendor
- What exactly will be automated, and what stays with a person?
- How will we see what it did, and correct it?
- What happens to our data?
- What does it cost each month once it is running, including usage fees?
- Can we start with one small workflow and see results before we commit more?
How we work at FutraInc
We apply AI to workflows, marketing and customer engagement, and we use it in how we build software too: specs, code, content and test data are generated and then reviewed by us. We start with one workflow, show you it working, and build from there. Tell us what takes your team the most time and we will say whether automation fits. See our services or contact us.
