Running a business association or networking chapter with less effort

What an association looks after, where it goes wrong, six steps to a tidier chapter and what to look for in software.

Business associations, networking groups and chapters run on goodwill, and goodwill does not keep records. Member lists live in a few people's phones, dues are chased by message, and meeting attendance is a tally on paper. When the office-bearers change, much of it leaves with them. This guide covers what to track and how to run a chapter or association with less effort.

What an association has to look after

Where it goes wrong

Six steps to a tidier chapter

  1. Build one member list. Name, business, category, phone, email, join date. Keep it in a single place that more than one person can reach.
  2. Set the fee rules. Amounts, due dates and what happens if someone does not pay, agreed by the committee and written down.
  3. Send reminders in one go. Automatic, polite and with an easy way to pay.
  4. Record attendance. A quick sign-in or check-in at each meeting, so you can see who comes.
  5. Keep an events calendar. Dates, venues and registrations in one place that members can open.
  6. Hand over properly. Access to the member list, fee records and files passes to the next committee.

Helping members help each other

The value of a chapter is the introductions. Record what each member does and the kind of customer they want, so anyone can find the right member quickly. Keep a simple log of referrals given and received, so it is clear the group is working.
